Emails an AnroAgents agent sends

In-chat emails and automatic follow-ups, sent from your own mailbox.

An AnroAgents agent sends email in two different situations: inside the conversation, when a visitor asks for something in writing, and afterwards, as a follow-up to someone who left without booking. Both are sent from your own connected Gmail account, not from a platform address.

Emails are sent from your own mailbox in AnroAgents for a practical reason: mail from a real business address that already has a sending history lands in the recipient's primary inbox, while mail from a shared platform domain lands in Promotions.

Connecting a mailbox

Connect Gmail in the AnroAgents dashboard under Settings. You can connect more than one mailbox to an account, and each agent can be pointed at whichever mailbox it should send from — useful when one account runs agents for several brands.

Email sending in AnroAgents is available on the plans that include follow-up emails; see the AnroAgents pricing document. Until a mailbox is connected, an agent will not promise to send anything, because the platform gates the ability on both the plan and a working connection.

Emails inside the conversation

With Email Collection enabled, an AnroAgents agent asks for the visitor's email during the chat and can then send them what they asked for — the price list, a brochure, a summary of what was discussed. The email goes out while the visitor is still on the page.

The files an AnroAgents agent may attach are the ones you uploaded under "Files the agent can email", each with a description saying when to send it. The agent picks by that description, so write them to be distinguishing rather than decorative.

Follow-up emails

Follow-up in AnroAgents sends a personalised email automatically when a visitor leaves without booking a meeting. You write the subject, the body and the signature; the delay before sending is anything from an hour to a week.

The follow-up body in AnroAgents is plain text or light markdown, and supports placeholders: {{visitorName}}, {{businessName}}, {{bookingUrl}} and {{ai_opening}}. Keep it short and free of images and buttons — a rich HTML template is what pushes an email into Promotions.

The {{ai_opening}} placeholder in an AnroAgents follow-up is a one-line opening written by the AI from what the visitor actually shared — their budget, their timeline, the problem they described. It is the difference between a follow-up that reads as a mail-merge and one that reads as a person who was listening.

Follow-ups in AnroAgents fire only under the conditions you choose: only if an email was collected, skip if the visitor booked a meeting, only if the lead is qualified, skip if a HubSpot deal was already created. The first two are on for most businesses; the third belongs to teams with more leads than time.

Sending follow-up email in AnroAgents requires the visitor's consent, and getting it is your responsibility as the sender. Add an opt-in checkbox to the pre-chat form next to the email field; that tick is the record that the visitor agreed, and it is what GDPR and CAN-SPAM require.

Every follow-up email AnroAgents sends carries an unsubscribe link, and an unsubscribe is honoured for that visitor across your agents without you doing anything.

Because AnroAgents follow-ups go out from your own Gmail, they count against Google's own sending limits for that account, and replies come back to your inbox where they belong.
